Why your Microsoft 365 directory doesn't show up in your iPhone contacts
Your colleagues are in Outlook and Teams, yet their calls show up as unknown numbers. Why Microsoft 365 does not sync the directory to iPhone contacts, what the workarounds are worth, and how to fix it.

A colleague calls you from their mobile. They are in your Microsoft 365 directory, you write to them every day in Outlook and Teams… and yet your iPhone shows a bare number. You either pick up without knowing who is calling, or let it ring.
This is not a setting you forgot, nor a bug on your phone: it is a limitation of Microsoft 365. Here is why it happens, what the usual workarounds are worth, and how to get a company directory that actually lives on your phones.
Outlook knows your colleagues, your iPhone doesn't
In Microsoft 365, colleagues live in the company directory, Microsoft Entra ID (formerly Azure Active Directory). It feeds the Global Address List (the GAL) you browse in Outlook or Teams.
The iPhone Contacts app, however, does not read that directory. Microsoft 365 does not publish the GAL to the native iOS address book, nor to Android's. The phone only knows the contacts stored on it. And that native address book is what iOS checks to display a caller's name: a colleague who is not in it remains an unknown number, even though they are in the company directory.
Why the usual settings fall short
The Outlook app and its contacts
Outlook for iOS can save contacts to the Contacts app, but only the personal contacts in your mailbox: the ones you created yourself. The company directory is not part of them.
The Exchange account in iPhone settings
With an Exchange account added in iOS settings, the Contacts app can, depending on the configuration, search the directory for a name. But that is a one-off lookup: the entries are not saved on the phone. When that colleague calls, iOS does not recognise them.
CSV exports and vCard files
Exporting the directory and importing it on every phone works… on import day. After that, every new hire, every departure and every number change makes the list a little more wrong. And nobody repeats the exercise on dozens or hundreds of devices.
Scripts that copy the GAL into every mailbox
Some IT teams write PowerShell scripts, or use third-party tools, that copy the directory into the contacts of every mailbox, which then sync to the phones. It works, at the cost of a server or scheduled task to maintain, elevated rights on every mailbox, and a copy of the directory in every account. When an employee leaves, their copy does not disappear on its own.
What you really need: a directory synced to the native address book
For colleagues' calls to show up with their name, the directory has to be in the phone's Contacts app and stay up to date without anyone touching it. In practice, a good solution should:
- read colleagues straight from Microsoft Entra ID, which remains the single source of truth;
- write them to the native iOS and Android address book, so incoming calls are identified;
- apply new hires, departures and number changes automatically;
- deploy like any other business app, with Microsoft Intune for instance;
- not create yet another copy of your directory to secure.
How Calliente solves it
